Photography Service Terms and Conditions
Welcome to Reflections HD Photography!
These are the terms and conditions that outline our services and your agreement with us.
Booking Deposit and Payment: To secure our services for your memorable moments, a booking fee, as stipulated in a contract or photography services on the pricing page, is required upon booking confirmation. All deposit are nonrefundable.
Cancellation: Should you decide to cancel this Agreement more than six (6) calendar days before the scheduled photoshoot, we will fully refund your booking fee if we manage to book the same date with another client. If the cancellation occurs within six (6) calendar days of the shoot or we are unable to secure a replacement, the booking fee will be forfeited.
Photographic Materials and Copyright: All photographic materials, including negatives, photos, and slides, remain the exclusive property of Reflections HD Photography. We hold the copyright to all images created and reserve the right to use them for samples, contests, exhibitions, advertising, and self-promotion. Any use beyond the terms of this agreement requires your consent.
Client’s Usage: The prints you receive are intended for personal use only. You are not allowed to sell the prints or authorize others to reproduce them without our explicit consent. If you plan to reproduce a print, please follow the Special Usage Requirements. In such cases, ensure that proper copyright and credit notices are included when published.
Social Media: When sharing our photographs on any social media platforms such as Facebook and blogs, proper credit to Reflections HD Photography must be given. You agree not to alter the photographs in any way when posting them publicly online, except where specific platform requirements, like Facebook's Timeline cropping, apply.
Failure to Perform: If unforeseen circumstances, such as fire, strike, illness, or other uncontrollable events prevent us from fulfilling our agreement, we will refund any funds paid. We will not be held liable beyond the refund amount. Additionally, we are not responsible for damages to photographic materials due to processing, camera malfunction, shipping, or other unforeseen causes.
High-Resolution Images: High-resolution images provided are 300DPI with a minimum of 3000 pixels on the longest edge.
Data Retention: We retain client files for up to 2 years after the photography session. After this period, files will be deleted, and backups will be purged.
Liability: During the photography session or consultation, the responsibility for the safety of children and prevention of damage to public or private property lies with you. Reflections HD Photography will not be held liable for any accidents or damages.
Exclusive Photography Rights: While we are providing photography services at your event or session, no other photographers, professional or amateur, are allowed to photograph at the same venue. Breaching this agreement may lead to non-completion of the job and forfeiture of the initial deposit.
Photography Style and Requests: Our photography style is driven by our experience and artistic perspective. Feel free to share your special requests by creating a "shot list." We aim to capture moments that resonate with our unique approach.
Image Editing: As outlined in the contract, all deliverable images will undergo standard editing, including light skin retouching and color adjustments. Additional edits requested by you, if accepted by us, will incur a fee of $35 per image.
Photographer's Break and Meals: Our photographers are entitled to a 20-minute break at their discretion, as well as necessary bathroom breaks. For sessions lasting over 5 hours, a full guest meal is required for each photographer. If not provided, photographers may take a 45-minute off-site meal break.
Communication and Changes: All communication with Reflections HD Photography must be in English and in writing, either via mail or email. Please inform us by email of any changes to dates or locations.
Photo Cooperation: If guests or vendors take photos during our sessions, we are not responsible for obstructed or compromised photos due to external factors. These include flashes going off, actions of other vendors, and venue staff.
